Terms & Policies
PRICE AND COMPS:
Prices and comps are generally based on 25 or 30 paying persons. Two comps are usually given.
All payments are to be made by check, certified check, or money order. If a check is returned to us for non-sufficient funds, $25 per check will be assessed.
Reservations will not be made and held unless deposits are paid at the times they are due. Additional incremental deposits may be necessary based on the terms and conditions of vendors used in the tour (i.e., theater tickets and lodging).
Any special considerations, such as handicapped individual, special diets, or room requests are to be made no later than 14 days prior to the tour. Meal selections and final rooming lists are due 14 days out from the tour date, if applicable.
The gratuities for step-on guides are not included in the price of the tour, but it does include gratuities for all meals that are part of the tour package.
Taxes for meals, lodging, tickets, etc. that are part of the tour package are included in the tour price.
Luggage handling (one bag per person) is always included in the tour price, unless the customer asks for it not to be.
TOUR CANCELLATION POLICY (days are calculated from date of arrival):
The cancellation policy is based on the cancellation policies of the hotels and other vendors used for the tour. Most have refundable deposits up until 30-60 days out from the date of arrival if a tour is cancelled.
All cancellations must be received during normal business days/hours. If deadline falls on weekend/holiday, notice must be received on business day prior.
INDIVIDUAL PASSENGER CANCELLATION POLICY
Refunds, less $25 processing fee, will be made upon receipt of same from our vendors and/or release from any obligations, financial or otherwise, which were made on behalf of that passenger whether specifically noted or not, as part of their initial indication that they would be participating in the tour. Single Supplement charges for the remaining passenger are the responsibility of the person not coming on a tour and will be deducted from any applicable refund.
Mountaineer Country Tours, LLC, shall not be required to refund any portion of the tour and charge paid by a passenger who fails, for any reason during the tour, to be aboard the motorcoach at the time it departs from any destination or stop en route and shall not be responsible for lodging, meals, transportation or other expenses incurred by the passenger as a result thereof.
Refunds for special cases will be reviewed based on doctor-certified illnesses or hospitalizations and/or death of either passenger or traveling companion and are subject to receipt of same from our vendors, less processing fees. Cancellations due to medical/hospital reasons require written notification from the doctor or hospital. This must be received in our office within 7 days of the date of the cancellation.
There is no refund for an unused portion of a trip.
No Show – No Refund
Mountaineer Country Tours, LLC, reserves the right to alter portion of a tour or make comparable substitutions after consultation with and/or notification to the booking entity. Changes may be necessary in the event of illness, acts of God, closures of businesses, death, etc. Tours are prepared up to a year in advance of some scheduled departure dates and circumstances may arise that are beyond Mountaineer Country Tours, LLC’s control.
Payment of telephone calls, room service, and other incidentals at places of lodging are the responsibility of the passenger.
Mountaineer Country Tours, LLC offers group travel insurance through Access America. This insurance must be purchased for the group or for each individual when they first sign up for the tour.
Mountaineer Country Tours, LLC, contracts with carefully selected suppliers and vendors all of which are independent contractors. Mountaineer Country Tours, LLC, shall not be held liable for any injury, damage loss, accident, delay expense or other misfortune to person or property from any negligent act, omission, or default by properties contracted for tours in which they provided service in connection with this package. Any remuneration or complaints must be handled with those responsible. However, Mountaineer Country Tours, LLC, is prepared to help you solve any of your concerns.
